A QuickBooks Desktop 15 days warning is not, on the evidence available, a deletion deadline. No QuickBooks Desktop help page checked on October 20, 2026 sets a 15-day deadline for deleting data. What changes when a plan ends is access: a year of view-only mode, then renewal. This guide shows how to open view-only mode and export your data.
Locked out, or the file will not open? Call 1-802-778-9005 or send the details with the login form on this page: your QuickBooks year and edition, the exact notice, and whether the file opens. Support hours: Monday through Friday, 24 hours a day.
QuickBooks Desktop 15 days warning: find your notice, then protect and export your data
Not on any rule found. None of the QuickBooks Desktop help pages checked on October 20, 2026 gives a 15-day window after which data is deleted. Your company file stays on your computer. When a subscription ends, editing stops and view-only mode allows reports and export for one year. Match your notice, then export now.
Checked on October 20, 2026. Re-check before you rely on it.
The current help pages on view-only mode, cancellation policies, common subscription questions, the subscription-lapsed message, the 2023 service discontinuation and the Desktop stop-sell contain no 15-day rule. In the community threads read, users quote 7, 6 and 3 days on an app pop-up and 13 days on a payroll warning.
Take a phone photo of the notice, or write down every word, including any number of days. Do not select Cancel Service or Reactivate while you only read it.
If QuickBooks opens, press F2. The Product Information window shows the product name, the year and the release, such as 2023 R3.
If QuickBooks will not open: your purchase email or your Intuit account shows the product.
In a web browser, type camps.intuit.com yourself, sign in, open QuickBooks Desktop, and select details. Note the status and the renewal or end date.
If it fails: the plan may sit under another email. Ask whoever set up QuickBooks, or send the details with the no-login form on this page.
With this guide you can tell what your notice changes, check whether view-only mode will work for you, and back up, open view-only mode and export your reports before access ends. Each section stands alone and repeats the clicks it needs.
Renewal and payment fixes are not repeated here. They sit on QuickBooks subscription ended, canceled or payment failed.
Match the words of your notice and where it appeared to a row in the table. Each row says what changes for your data, whether a deletion date appears on the help pages checked, and the next step. Most notices change access, not the file. If no row fits, send the exact words.
Checked on October 20, 2026. Re-check before you rely on a date.
| What you see | What changes | Deletion date found? | Next step |
|---|---|---|---|
| A countdown pop-up, and your account shows the plan paid | Staff link it to a renewal not yet recognized | None | Help, Manage My License, Sync License Data Online, then restart. If it stays, see the links under the table. |
| The account shows the plan expired or canceled | Editing stops. View-only mode allows reports and export for one year | None | Back up if the file opens normally, then export. Renewal: QuickBooks subscription ended, canceled or payment failed. |
| An Intuit email about a failed payment | A missed payment puts the file on hold for one week from the day Intuit detects it. The file then opens only after you renew or set up view-only mode. View-only mode lasts up to one year or until repayment. | None | Export what you need. Payment fix: QuickBooks subscription ended, canceled or payment failed. |
| Intuit’s final notice to renew (email or account) | Intuit allows a 30-day grace period after the final notice | None | Renew inside that period: QuickBooks subscription ended, canceled or payment failed. |
| “Your QuickBooks subscription has lapsed” | The message itself does not affect company data | None | QuickBooks subscription lapsed with an active plan. |
| A payroll warning with days left | Informational once the payroll plan is renewed | None | Check the payroll status in your Intuit account. |
| The one-year view-only period is over, weeks after canceling | Reported by users in 2026; no cause appears on the help pages checked | None | Do not reinstall. Record the message, contact Intuit Live Support from your own sign-in, and send the details. |
| F2 shows 2023 or an older year | 2023 products lost support and services after May 31, 2026. Whether the file still opens is not stated on the help pages checked on October 20, 2026 | None | Export now while the file opens. If it will not open normally and F2 shows R3 or newer, try view-only mode. Do not reinstall. |
| An old version you own will not reinstall | Staff say licensing servers for discontinued versions are disabled. A copy registered before may still be activated with a validation code from support, though one user reports being refused for an old product | None | Do not uninstall a copy that still opens. Ask support whether a validation code applies (Help, QuickBooks Help, Contact Us), or see maximum number of unregistered users, or send the details. |
| An email, text or call warning of lost access | Can be phishing | Not applicable | Type camps.intuit.com yourself. Intuit does not ask for a password or one-time code by phone, email or text. |
If the countdown stays after the sync, see QuickBooks license sync error or QuickBooks registration error after renewal. For a registration screen or a message about unregistered users, see QuickBooks registration error after renewal or maximum number of unregistered users.
When a QuickBooks Desktop subscription expires or is canceled, the company file stays on your computer and you still own your data. You get one year of view-only mode: reports can be viewed and exported, but no transactions can be created. After that year, renewal is needed to view the data.
View-only mode opens a company file for one year after a Pro Plus, Premier Plus or Enterprise plan expires or is canceled, for viewing reports and exporting only. You cannot edit, create transactions, open attachments or use third-party apps.
What you can and cannot do in QuickBooks Desktop view-only mode
| Stated on the help pages checked | Not stated on the help pages checked |
|---|---|
| You own your data | Whether the file is ever deleted after the view-only year |
| Company files open with a compatible license or an active subscription | Whether a file from an ended version still opens |
| View-only mode lasts one year after an expiry or a cancellation | Why some users saw the year end early in 2026 |
| After the year, renewal is needed to view the data | Any 15-day deadline |
Intuit staff in the community add one detail: after the view-only year, the company file can no longer be opened unless the plan is renewed. That is an access limit, not a deletion. Do not read the silence on deletion as a promise or a threat.
Intuit staff replies from 2021 to 2024, and one undated, say a lapsed company file cannot be opened until the subscription is reactivated. The current help pages describe view-only mode instead. If your file will not open, the older description may fit, so do not reinstall, and send the details with the no-login form on this page.
To protect QuickBooks Desktop data before access changes, back up the company file while it opens normally, update to 2023 R3 or newer if your plan is still active, export your reports, deal with attachments, record your license and product numbers, and copy everything off the computer. Do not reinstall.
Do this while the file still opens normally. A backup from view-only mode is not confirmed.
Open the company file. Open the File menu and select Switch to Single-user Mode. If the menu offers Switch to Multi-user Mode instead, you are already in single-user mode. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
Open File, hover over Back up Company, and select Create Local Backup.
Select Local Backup, then Next.
In the Local Backup Only section, select Browse and choose a folder named QuickBooks Archive on an external drive or outside the QuickBooks folder. Turn the verification option on if it is shown. Select OK.
Select Save it now, then Next.
You see: a message confirming the backup. The backup file ends in .qbb.
If it fails: write down the exact message and try once more. After two attempts, stop and use the form. See also QuickBooks unable to back up company file.
File menu with Back up Company and Create Local Backup highlighted, then three backup windows
View-only mode needs Windows 2023 R3 or newer, or Mac Plus 2024 or newer. Press F2. If your release is older and the plan is active, finish Stage 1, then follow how to update QuickBooks Desktop before the plan ends.
Reports menu, open the report, Excel or print to PDF, save in the QuickBooks Archive folder. Repeat for each report you need.
Attachments cannot be opened in view-only mode, so save copies of the ones you rely on while the file opens normally. The download method is not covered here, so use the form if you need help.
Press F2 and write down the license number and product number from Product Information. If QuickBooks will not open, your purchase email or Intuit account shows them. See QuickBooks license errors.
Copy the QuickBooks Archive folder to a second place, such as another drive. A backup is a restore point. Opening it later will likely need a working, licensed QuickBooks install.
Five steps to protect QuickBooks Desktop data before access changes
You see: a .qbb file and your exported reports in the QuickBooks Archive folder, plus a second copy elsewhere. Open one export to confirm it has numbers.
Your setup can use view-only mode if it runs Pro Plus, Premier Plus or Enterprise, Windows 2023 R3 or newer or Mac Plus 2024 or newer, on the computer where the license is installed. You must be a company file admin in single-user mode, with Advanced Inventory and Advanced Pricing off, and not hosted by Intuit or Rightworks.
Pro Plus, Premier Plus or Enterprise; Windows 2023 R3 or newer (Mac Plus 2024 or newer); the original computer, never reinstalled; a company file admin; single-user mode; no third-party apps; Advanced Inventory and Advanced Pricing off; not hosted by Intuit or Rightworks. Attachments cannot be opened, so save them first.
Checklist of conditions for QuickBooks Desktop view-only mode
Open QuickBooks and press F2. Read the product name, the year and the release in Product Information.
You see: for example, Pro Plus 2023 R3. If F2 shows a year before 2023, or 2023 before R3, view-only mode is not available on that install.
Use the computer where QuickBooks was installed and licensed. If you have already reinstalled QuickBooks or moved to a new computer, stop and send the details with the no-login form on this page.
Sign in to the company file with the user that has admin rights. If you do not know who that is, ask whoever set up QuickBooks.
If you use Advanced Inventory or Advanced Pricing, view-only mode needs them turned off. Turning them off changes company settings, so use the form before you change anything. View-only mode does not work with Intuit hosting through Rightworks. If any provider hosts your QuickBooks, ask the provider first.
Back up first: File, Switch to Single-user Mode, then File, Back up Company, Create Local Backup, Local Backup, Next, Browse, OK, Save it now, Next. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
You see: a confirmation message and a .qbb file. Then, before the plan ends, follow how to update QuickBooks Desktop.
You see: every condition in the list holds for your setup.
If it fails: if an item cannot be met, export what you can while the file opens normally. If the plan has ended, use the form.
To open QuickBooks Desktop in view-only mode, use the computer where the license is installed, sign in as a company file admin, open the File menu, select Switch to Single-user Mode, select OK, and open the company file. You can then view and export reports but not create transactions.
Open QuickBooks Desktop on the computer where it was installed and licensed.
Sign in with the user that has admin rights in the company file.
Open the File menu and select Switch to Single-user Mode. Select OK on the message. If the menu offers Switch to Multi-user Mode instead, you are already in single-user mode. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
Open the company file.
You see: the file opens. Reports can be viewed. New transactions cannot be created, and attachments cannot be opened.
If it fails: restart the computer and try Steps 1 to 4 once more. After two attempts, stop, do not reinstall, and send the exact message with the form.
When you finish, if other people share this file, select File, Switch to Multi-user Mode.
Open the Reports menu and open a report you know, such as the profit and loss.
Compare one total with a figure you trust, such as last year’s tax return.
You see: your data. Export while access lasts.
Stop. Do not reinstall or move the file. Note the wording, the date you canceled and your product year, contact Intuit Live Support from your own sign-in, then use the form.
To export QuickBooks Desktop reports in view-only mode, open the Reports menu, open each report you need, select Excel or print it and save it as a PDF, and save the file in a folder outside QuickBooks. Start with the general ledger for all dates, then yearly statements and your lists.
| Report or list | Period |
|---|---|
| General ledger | All dates |
| Profit and loss | Each year you need |
| Balance sheet | Each year end |
| Trial balance | Each year end |
| Chart of accounts | Current |
| Customer list and vendor list | Current |
Name each file with the report and the period, for example General ledger all dates. If a report or list is not in your Reports menu, note it and send the details with the no-login form on this page.
Open the Reports menu and open the first report on your list.
Set the report dates to the period in your list. For the general ledger, cover all dates.
Select Excel on the report.
Save the file in the QuickBooks Archive folder with a clear name.
You see: the file in the folder. Open it to confirm it has rows and totals.
If it fails: if Excel is missing or the option is unavailable, use the PDF route in Stage 3. See also QuickBooks export to Excel not working.
With the report open, choose to print it.
Choose a PDF option as the printer and save the file in the QuickBooks Archive folder.
You see: a PDF that opens in a PDF viewer and shows the report.
Repeat Stage 2 or Stage 3 for every row in your list. Then copy the QuickBooks Archive folder to a second place, such as another drive.
Reports menu, a report, Excel or PDF, then the QuickBooks Archive folder outside QuickBooks
You see: one file per report in two places. Open three; the profit and loss total should match the screen.
If it fails: if an export is blank or keeps failing, try it once more. After two attempts, stop and use the form, naming the report.
When QuickBooks Desktop view-only mode will not start, or a message says the year is over soon after canceling, stop and change nothing. Do not reinstall or move the file. Record the message, check the conditions, contact Intuit Live Support, and send the details. Users reported both cases in 2026.
Some Pro Plus and Enterprise 24 users report a message that the view-only year is over within weeks of canceling. Others report that view-only mode would not start. No cause appears on the help pages checked on October 20, 2026, and the outcomes are not known.
Photograph the message or write down every word.
Write down the date the plan ended or was canceled and today’s date.
Press F2 if QuickBooks opens and write down the product, year and release. Note whether QuickBooks was reinstalled or moved.
Pro Plus, Premier Plus or Enterprise; 2023 R3 or newer (Mac Plus 2024 or newer); the original computer, never reinstalled; a company file admin; single-user mode; no third-party apps; Advanced Inventory and Advanced Pricing off; not hosted by Intuit or Rightworks.
Use the original computer, sign in as the user with admin rights, open File, select Switch to Single-user Mode, select OK, and open the company file. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
You see: the file opens and reports can be viewed. If so, export now.
If it fails: after two attempts, stop. Do not repeat the steps in a loop.
In a 2026 thread, Intuit staff directed a user with this message to Intuit Live Support. Contact Intuit from your own sign-in, never from a number in an email or ad. Then send the details with the no-login form on this page, including whether you reinstalled.

When QuickBooks Desktop access is ending, you can renew, move to Enterprise, move to QuickBooks Online, or stay on view-only mode and keep an exported archive. Back up and export first, whichever you choose. The right option depends on whether anyone needs to work in the file again.
| Option | Suits | Watch out for | Next step |
|---|---|---|---|
| Renew Desktop | Existing Plus and Enterprise subscribers, and suspended Plus subscribers | Reinstating a long-lapsed plan is not confirmed. Steps: QuickBooks subscription ended, canceled or payment failed | If renewal is refused, call or use the form |
| Move to Enterprise | Readers who need to stay on Desktop | Back up first | See convert QuickBooks Pro to Enterprise |
| Move to QuickBooks Online | Readers ready to leave Desktop | A Desktop file can move without starting over | See convert QuickBooks Desktop to Online. |
| Stay on view-only and archive | Readers who only need old records | View-only lasts one year, and renewal is needed to view after that | Export the full set and keep the .qbb backup in two places |
Before any option, back up if the file opens normally (File, Switch to Single-user Mode, then File, Back up Company, Create Local Backup, Local Backup, Next, Browse, OK, Save it now, Next) and export your reports to the QuickBooks Archive folder. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
Not sure which option fits? Call 1-802-778-9005 or send the details with the no-login form on this page. Support hours: Monday through Friday, 24 hours a day.

These ten follow-ups come after a deletion warning, once the fear is settled and the questions turn to view-only mode and export. Each answer ends with a narrowing question and says what each reply means. If your case does not fit, send the details with the no-login form on this page; the answers below call it the form.
No deletion date appears on the help pages checked on October 20, 2026. After the one-year view-only period, renewal is needed to view the data, and Intuit staff say the file can no longer be opened without it. Treat the end of the year as the end of access.
To narrow it down: has the view-only year already passed? If no, export your full report set now. If yes, do not reinstall or delete anything, and send the form with the dates before you renew.
Export before the plan ends. With full access you can back up, save attachments and update to 2023 R3 or newer. View-only mode cannot open attachments, needs admin rights and single-user mode, and some users report it ending early or not starting.
Your answer decides the next step: has the cancellation taken effect? If no, back up, update if needed, and export now. If yes, open view-only mode on the original computer and export today.
Not for view-only access. View-only mode works only with the license already installed on the original computer, and not after a reinstall. Company files open with a compatible license or an active subscription, so a new computer generally needs an active plan first.
Before you change computers: does the original computer still start? If yes, export every report on it first. If no, keep the old drive, do not reinstall, and use the form.
Do not rely on it. Some community members suggest a trial gives lasting access to old files, but it is not Intuit guidance, and one member warns that registering a trial can lock you out. Your exported reports and backup do not depend on it.
To decide: does view-only mode still open the file on the original computer? If yes, export there. If no, use the form before you install any trial.
Support and services for 2023 products ended after May 31, 2026, including payroll, payments, bank feeds and security updates. Whether the file keeps opening is not stated on the help pages checked on October 20, 2026. Export your reports and make a backup while it still opens.
To set your urgency: did you use payroll or bank feeds in this file? If yes, they have stopped, so renew to a supported version or move to QuickBooks Online now. If no, export the full set and keep the backup.
Only a company file admin can open view-only mode, and only in single-user mode, so one person works in the file at a time, on the original computer. Share data with an accountant through exported reports or a backup instead.
To pick the route: does your accountant need the company file itself? If yes, send a .qbb backup made while the file opened normally. If no, export the reports they list.
View-only mode does not show attachments, such as scanned receipts linked to transactions. That is one of its documented limits. Save the attachments you rely on while the file still opens normally, and list them first so none is missed.
Before access changes: does the file still open normally? If yes, save copies now. If no, list the attachments that matter and send that list with the form.
View-only mode works on Mac Plus 2024 or newer, not on Mac Plus 2023 or earlier. The steps on this page are written for Windows, so Mac menu names may differ. Check your Mac year first, and export what you need while the file still opens normally.
To narrow it down: is your Mac Plus 2024 or newer? If yes, send the form before the plan ends so the Mac steps can be checked. If no, export everything now while full access lasts.
View-only mode needs Advanced Inventory and Advanced Pricing turned off. If you use either, act while the plan is still active: export the inventory and pricing reports you need in normal mode, and get the setting change checked before access ends.
Your answer decides the route: is your plan still active? If yes, export those reports now. If no, do not change settings, and send the form with your edition.
Renewal is the documented way to view the data after the view-only year. An exported archive and a .qbb backup are your own copies, but opening the backup later will likely need a working, licensed install. Decide by who needs the live file.
To decide: could an audit, sale or tax question need new reports from the file? If yes, renew or move to Online before the year ends. If no, export the full set and keep the backup in two places.
