A QuickBooks Desktop subscription that expired, or a renewal that failed, is an account state, so check your Intuit account first. Your company file stays on your computer. Find your state in the table, see what stops and what still works, and follow the next step.

Locked out and need your data now? Call 1-802-778-9005 or use the login form. Send the case facts: your QuickBooks year and edition (press F2 if the file opens), what the screen says, and whether you are the primary contact on the Intuit account. Support hours: Monday through Friday, 24 hours a day.

Where to start when a QuickBooks Desktop subscription expired or the renewal failedStart by signing in to camps.intuit.com and opening the QuickBooks Desktop details. Then match your case. Payment failed or plan ended: the primary contact fixes the payment method or renews, then syncs the license. Plan paid and active but the app still warns: sync and restart. Plan canceled or the file will not open normally: back up if it opens, use view-only mode, export reports. F2 shows 2023 or an older year: do not reinstall, and 2023 R3 or newer can try view-only mode. What does QuickBooks Desktop subscription expired or renewal failed mean

A QuickBooks Desktop subscription that expired or failed to renew is an account state, not a software fault: the plan is inactive or the payment did not go through, and Intuit limits access to the company file. Six situations can look alike on screen. Find yours in the table, then follow its next step.

Find your state

Policy and service facts checked on October 20, 2026. Re-check before you rely on a date.

Renewal payment failedIntuit emailed about a billing problem, or the payment method in your account is out of dateA missed payment puts the file on hold for one week from the day Intuit detects it. The file then opens only after you renew or set up view-only mode. The primary contact fixes the payment method (camps.intuit.com, QuickBooks Desktop, details, Edit beside Payment Method, Save and Close), then syncs the license. Intuit allows a 30-day grace period after the final notice.
Expired, not renewedThe plan reached its end date and no renewal went throughEditing. View-only mode allows reports and export for one year. After that year, renewal is needed to view the data.Export what you need if the file opens, then renew. Existing Plus subscribers can renew, and Enterprise renews by phone or online.

After that, editing, Intuit support, Data Recovery and Intuit Data Protect stop.Export what you need, then renew or choose another route.
Paid, but QuickBooks still says expiredThe account shows the plan as paid and active, yet the app still warnsThe payment went through. The app may not have recognized the renewal yet.Run Help, Manage My License, Sync License Data Online, then restart QuickBooks. If the warning stays, see QuickBooks subscription lapsed with an active plan or QuickBooks registration error after renewal.
Version past end of serviceF2 shows 2023 or an older year2023 products lost live support, payroll, payments, bank feeds and security updates after May 31, 2026. Whether the file still opens is not stated on the help pages checked on October 20, 2026. End dates for other years are not confirmed here.2023: do not reinstall. If the file will not open normally and your release is R3 or newer, try view-only mode. For any year, send the case facts before you reinstall or buy.

Check yourself against these

  • Did Intuit email you about a billing problem, or does the payment method look out of date? If yes, you are in the failed-payment row and the payment fix in the table applies. If no, check whether the plan simply reached its end date.
  • Does your Intuit account show the plan as paid and active? If yes and QuickBooks still warns, use the paid-but-still-expired row.
  • Does the company file open? If it opens normally, back it up and export your reports before anything else. Backup: ask other users to sign out, then File, Switch to Single-user Mode, then File, Back up Company, Create Local Backup, Local Backup, Next, Browse, OK, Save it now, Next. Export: Reports menu, open the report, Excel or print to PDF, save outside the QuickBooks folder. If it opens only in view-only mode, export now. If it will not open at all, sign in as a company file admin, open File, select Switch to Single-user Mode, select OK, then open the company file. If that fails, use the form. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
  • What year does F2 show? 2023: use the Version past end of service row. An older year: use the form before you reinstall. A later year: that row is not confirmed for your year, so check your status with Intuit if QuickBooks warns about the version.

If the plan is active and the file still will not open, see Unable to open company file. If you are not sure which message you have, see QuickBooks subscription error.

Payment keeps failing, or the file will not open? Use the form or call 1-802-778-9005.

What does this guide give you for a QuickBooks Desktop subscription expired or renewal failed

This guide helps you name your state, see what stops and what still works, protect your company file, and renew or choose another route. Each section stands alone, repeats the clicks it needs, and tells you when to stop and call.

  • Your state, named, with a six-row table and the next step for each.
  • The published periods, with dates checked, and what is not stated.
  • A data-safety answer with limits shown.
  • Click steps for the payment fix, the sync, the backup, view-only mode and report export.
  • An options table for renewing, Enterprise, or QuickBooks Online.

How do you check the subscription state in your Intuit account

To check the subscription state, sign in to the Customer Account Management Portal at camps.intuit.com with the account that bought QuickBooks. Open the QuickBooks Desktop details, then note the status, the renewal or end date, and the payment method. Check the primary contact’s inbox for Intuit billing emails.

Before you start

  • Only the primary contact can change the payment method. Find out who that is before you start.
  • Type the address yourself. Do not use a link in an email that says your subscription is expiring. Intuit does not ask for a password or one-time code by phone, email or text.
  • Do not select Cancel or Reactivate while you only read the status.

Read the status in the portal

Step 1: Open the portal

Go to camps.intuit.com in a web browser and sign in with the Intuit account that bought the subscription.

You see: your account home.

If the sign-in is refused or the account is not recognized: the plan may sit under a different email address. Ask the primary contact or whoever set up QuickBooks.

Step 2: Open the product details

Find QuickBooks Desktop under your products and services and select details next to it.

You see: a view with a Payment Method line.

If no QuickBooks Desktop item is listed: stop. The plan may sit under another login.

Step 3: Write down what the screen shows

Note the product name and year, the status, the renewal or end date, and the payment method. The layout can change, so read the labels on your screen. Also check the primary contact’s inbox and spam folder: a missed-payment email gives the date the payment will be tried again.

Read the product year

If QuickBooks opens, press F2 and read the product name and year in the Product Information window. If QuickBooks will not open, your purchase email or packaging label may show the year.

Check the result

You see: your notes on the status, the end or renewal date, the payment method and the year. Then:

  • Payment problem: the primary contact fixes the payment method (camps.intuit.com, QuickBooks Desktop, details, Edit beside Payment Method, Save and Close).
  • Ended, suspended or canceled plan: export what you need if the file opens, then renew.
  • Paid and active, but QuickBooks warns: Help, Manage My License, Sync License Data Online, then restart.
  • 2023: do not reinstall. If the file will not open normally and your release is R3 or newer, try view-only mode. An older year: use the form first.

If it fails

Cannot find the account, or you are not the primary contact and cannot reach that person? Use the form or call 1-802-778-9005. Support hours: Monday through Friday, 24 hours a day.

What stops working and what still works when the QuickBooks Desktop subscription expires

When a payment is missed, the company file goes on hold for one week from detection. Then, or after a plan expires or is canceled, view-only mode allows reports and export for one year, but no editing. After a cancellation, Intuit support, Data Recovery and Intuit Data Protect stop as well.

The published periods

Checked on October 20, 2026. Re-check before you rely on a period.

PeriodWhat it covers
One-week holdAfter a missed payment, counted from the day Intuit detects the inactive subscription. During the hold, the file opens only after you renew or set up view-only mode.
View-only modeAfter a missed payment, one year, ending when you repay. After an expiry or a cancellation, one year. Reports and export are allowed. Editing is not.
After the view-only yearRenewal is needed to view the data.
30-day grace periodIntuit allows 30 days after the final notice to renew.

These are separate published rules, and how the one-week hold and the 30-day grace period interact is not stated. Do not add them into one countdown. Read the dates in your own billing email, and renew or fix the payment method as soon as you can.

Intuit Data Protect backed-up files are kept for 30 days after a cancellation.

Older advice about access

Intuit staff replies from 2021 to 2024 said a lapsed file stays on the computer but needs reactivation to open; the help pages checked on October 20, 2026 describe view-only mode instead, so call if your file will not open.

Reports of the view-only year ending early

Some users report a 2026 message that the view-only period is over within weeks of canceling. No cause appears in the help pages checked, so export now, and if you see it, note the wording and call. Record-and-escalate steps are on QuickBooks view-only mode and data export.

Payroll and Payments after a cancellation

Payroll is a separate subscription, and canceling Desktop does not cancel payroll. Yet Desktop Payroll and Payments are not available after a Desktop cancellation takes effect unless another active subscription covers them. These two published rules do not match, so check the payroll status in your account before a pay run, and call if a deadline is close.

If payroll is canceled in your account, payroll support, updates, tax form processing and printing, direct deposit, e-file and e-pay stop. This page does not cover payroll renewal steps. See QuickBooks Enterprise payroll subscription expired, renew Pro or Premier payroll, or renew Enterprise payroll.

A version past end of service

Products from the 2023 release lost live support, payroll, payments, bank feeds and security updates after May 31, 2026. Whether files from an ended version still open is not stated on the help pages checked on October 20, 2026. Other years’ end dates are not confirmed here. If a 2023 file will not open normally and your release is R3 or newer, try view-only mode. Do not reinstall first; use the form or call.

Not sure which period applies? Use the form with the dates from your Intuit email, or call 1-802-778-9005. Support hours: Monday through Friday, 24 hours a day.

Is my company data safe when the QuickBooks Desktop subscription expires

The subscription-lapsed message does not affect your company data, and you own your data. The file stays on your computer. View-only mode allows reports and export for one year, and renewal is needed to view the data after that. Whether the file is ever deleted is not stated, so export now.

What is documented about your data after a subscription ends, and what is not stated

Not stated on the help pages checked on October 20, 2026: whether the file is deleted after the view-only year, or whether a long-lapsed Plus plan can be reinstated.

What to avoid

  • Do not delete or move the company file.
  • Do not uninstall or reinstall QuickBooks, or move the file to another computer. View-only mode works only on the PC where the license is already installed, so either can end your access.
  • Do not convert the file to a new version or to QuickBooks Online before you have exported your reports and have a backup.
  • Do not follow advice that a trial version gives permanent access to old data. It is not Intuit guidance.

What to do now

If the file opens normally, make a backup, then export the reports you need. If the file opens only in view-only mode, export the reports.

  1. Back up (only if the file opens normally): File, Switch to Single-user Mode, then File, Back up Company, Create Local Backup, Local Backup, Next, Browse, choose a folder, OK, Save it now, Next. The backup file ends in .qbb. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
  2. Open view-only mode (if the file will not open normally): sign in as a company file admin, open File, select Switch to Single-user Mode, select OK, then open the company file. When you finish, if other people share this file, select File, Switch to Multi-user Mode.
  3. Export: open the Reports menu, open the report, choose Excel or print it to PDF, and save it outside the QuickBooks folder.

Single-user mode needs everyone else out of the file, so ask other users to sign out first. To go back, open File and select Switch to Multi-user Mode.

File will not open, or the view-only message says the year is over? Do not reinstall. Use the form with the exact wording, or call 1-802-778-9005. Support hours: Monday through Friday, 24 hours a day.

What can you still do with your data after the QuickBooks Desktop plan ends

View-only mode lets a company file admin open the file in single-user mode to view reports and export them for one year, with no editing. If the file opens normally, back it up first. Then export each report you need from the Reports menu and save it outside the QuickBooks folder.

Before you start

  • These steps are for QuickBooks Desktop for Windows (Pro Plus, Premier Plus, Enterprise), 2023 R3 or newer, on the PC where the license is already installed. Do not reinstall or move the file first.
  • Single-user mode needs everyone else out of the file, so ask other users to sign out first. To go back, open File and select Switch to Multi-user Mode.
  • Mac, hosted, or a file that will not open at all: use the form or call before you try anything else.

Stage 1: Back up if the file opens normally

Step 1: Run the backup

Open File, select Switch to Single-user Mode, then File, Back up Company, Create Local Backup, Local Backup, Next, Browse, choose a folder, OK, Save it now, Next. A backup from view-only mode is not confirmed, so skip this stage if the file opens only in view-only mode. When you finish, if other people share this file, select File, Switch to Multi-user Mode.

You see: a confirmation message. The backup file ends in .qbb. See How to back up a QuickBooks company file.

Stage 2: Open the file in view-only mode

Step 1: Switch to single-user mode

Sign in as a company file admin, open File, select Switch to Single-user Mode, and select OK. When you finish, if other people share this file, select File, Switch to Multi-user Mode.

Step 2: Open the company file

Open the company file.

You see: reports open. New transactions cannot be created, and attachments cannot be opened.

Step 1: Export each report

Open the Reports menu, open the report, choose Excel or print it and save it as a PDF, and save the file outside the QuickBooks folder. Repeat for each report.

You see: each exported file opens in Excel or a PDF viewer. Open one now to confirm. For every view-only condition, a report checklist and what to do when view-only mode will not start, see QuickBooks view-only mode and data export.

If it fails

View-only mode will not start, the message says the year is over, or an export is blank? Do not reinstall or move the file. Send the details with the form, or call 1-802-778-9005. Support hours: Monday through Friday, 24 hours a day.

How do you fix a failed renewal or renew QuickBooks Desktop

To fix a failed renewal, the primary contact signs in to camps.intuit.com, opens the QuickBooks Desktop details, selects Edit beside Payment Method, and selects Save and Close. For an ended plan, look for a renew option in the account, or renew Enterprise by phone. Then choose Help, Manage My License, Sync License Data Online, and restart.

Before you start

  • Only the primary contact can change the payment method. Anyone else must ask that person.
  • Type camps.intuit.com yourself, and renew only through your own account.
  • Intuit allows a 30-day grace period after the final notice, so fix the payment method soon.
  • Optional: if the company file opens, back it up first. See How to back up a QuickBooks company file.
  • If a provider hosts your QuickBooks, ask the provider first.

Stage 1: Fix the payment method (failed payment)

Step 1: Open the portal

Go to camps.intuit.com and sign in with the Intuit account that bought the subscription.

Step 2: Open the product details

Find QuickBooks Desktop and select details.

Step 3: Edit the payment method

Select Edit beside Payment Method and enter the current payment details.

Step 4: Save

Select Save and Close.

You see: the details view returns with the new payment method.

If the save fails: the card may have been declined again. Try another card or ask your bank.

Schematic of the Intuit account payment method screen with numbered steps

Stage 2: Renew an ended plan (not a declined card)

The on-screen renew option for an ended plan is not described here, because its layout is not documented. These steps cover what is confirmed.

Step 1: Check which product you hold

Sales of new Pro Plus, Premier Plus, Mac Plus and Enhanced Payroll subscriptions stopped after September 30, 2024. Existing Plus subscribers can renew, a suspended Plus subscription can be renewed, and Enterprise is still sold.

Step 2: Look for a renewal option in the account

Sign in at camps.intuit.com, open QuickBooks Desktop, then details, and look for an option to renew or reactivate. If the account offers one, follow its screens.

Step 3: Renew Enterprise by phone or online

Enterprise can be bought or renewed by phone sales or online. Confirm any phone number on Intuit’s own site, never from a search ad or a caller.

Check: the account details or an Intuit email show the plan as active. The wording differs by account.

If no renewal option appears, or the plan lapsed long ago: stop. Whether a Plus plan that lapsed long ago can be reinstated is not confirmed. Use the form or call before you buy anything.

Stage 3: Sync the license (after either fix)

Step 1: Open the Help menu

Open QuickBooks, then open the Help menu.

Step 2: Run the sync

Hover over Manage My License and select Sync License Data Online. If a message appears, select OK.

Step 3: Restart

Close QuickBooks and the company file, then open them again.

Manual license sync in QuickBooks DesktopHelp menu open with Manage My License. Its submenu shows Sync License Data Online highlighted. If the app still blocks you after payment

If the account shows the payment as successful and QuickBooks still warns, the renewal may not have been recognized yet. Restart and run the sync again, and run it on a second PC that still warns.

For the lapsed pop-up, see QuickBooks subscription lapsed with an active plan. For a registration screen, see QuickBooks registration error after renewal. For a license sync prompt, see QuickBooks license sync error.

Check the result

You see: the lapsed message is gone after you reopen QuickBooks, the company file opens in normal mode, and the account details show the new payment method or the renewal.

If it fails

Payment fails again, the sync option is missing from Help, or the warning returns? Do not repeat the steps in a loop. Use the form or call 1-802-778-9005. Support hours: Monday through Friday, 24 hours a day.

What are your options if the QuickBooks Desktop subscription cannot be renewed

If you cannot renew, you have three routes: renew or reactivate when your plan can still be renewed, move to QuickBooks Enterprise when you need Desktop and cannot renew Plus, or move your Desktop file to QuickBooks Online. Export your reports first, whichever route you pick.

When should you call an expert to restore access or pull your data out

Call when the file will not open, when the view-only message says the year is over, when payment keeps failing, or when you are not the primary contact and cannot reach that person. Also call when the plan was canceled long ago, when your version has ended, or when you need data out for a tax filing, audit or sale.

Stop and call if any of these is true

  • The account shows the plan as paid and QuickBooks warns after the sync and a restart.
  • The file will not open in view-only mode, or the view-only year is over soon after you canceled.
  • The Intuit account cannot be found, or the plan sits under someone else’s email.
  • You uninstalled QuickBooks, moved the file or reinstalled while view-only mode was your only access.
  • The plan was canceled long ago and you want it reinstated.
  • You need data urgently for a tax filing, audit or sale and the file will not open.
  • A payroll deadline is close and the payroll subscription state is unclear.
  • QuickBooks runs on a hosted server.

What to send

Get your Desktop access checked. Call 1-802-778-9005 or send the no-login form. Include the QuickBooks year and edition, the exact message, the status your Intuit account shows, whether the file opens normally, opens in view-only mode or will not open, the number of users, and any deadline. Do not send passwords, one-time codes or card numbers. Support hours: Monday through Friday, 24 hours a day. Specialists use a secure, industry-standard remote desktop application to diagnose and work on the problem directly on your computer. Never share passwords during a remote session, and close the remote tool when the work is done.

Protect yourself from unsolicited callers

Allow remote access only to a provider you contacted yourself. A caller who phones you about your QuickBooks subscription is not part of this process, and Intuit does not ask for a password or one-time code by phone, email or text.

What questions do users ask after a QuickBooks Desktop subscription expired or renewal failed

These ten follow-ups come after a QuickBooks Desktop subscription expired or a renewal failed. Each answer ends with a narrowing question and says what your reply means. If your case does not fit, use the form or call a specialist.

I canceled, so can I keep working until the term ends?

Yes. A cancellation takes effect at the next billing or renewal date, and the subscription works until then. After that, editing, Intuit support, Data Recovery and Intuit Data Protect stop, and view-only mode applies. Export your reports before the date, while the file opens normally.
To narrow it down: do you know your next billing or renewal date? If yes, export and back up before it. If no, read it in the account details or billing email first.

Can I still open QuickBooks Desktop after my subscription lapses?

In a limited way. After a missed payment the file is on hold for one week unless you renew or set up view-only mode. View-only mode lets a company file admin open the file in single-user mode to view reports and export. You cannot edit, and a license must already be on that PC.
Your answer decides the next step: which product do you run? Pro Plus, Premier Plus or Enterprise for Windows, 2023 R3 or newer: try view-only mode. Mac, hosted, or an older year: use the form.

Will my Intuit Data Protect backups still be there after I cancel?

Intuit Data Protect backed-up files are kept for 30 days after a cancellation. After that, do not count on them. Intuit Data Protect stops when the cancellation takes effect, so new backups stop too. Make a local backup while the file opens normally.
Before you rely on it: do you have a local .qbb backup outside the QuickBooks folder? If yes, copy it to a second location. If no, make one now if the file opens normally, or export your reports.

Can I switch from Plus to Enterprise and get a refund?

A prorated refund for the remaining months may apply when a Plus customer moves up to Enterprise, so ask Intuit before you buy. Enterprise is sold new and can be bought or renewed by phone or online. The company file may need to be converted, so make a backup before any move.
To narrow it down: how many months remain on your Plus plan? If several, ask Intuit about the refund before you buy. If the plan has ended, no months remain, so ask Intuit whether any refund applies.

Is the email saying my subscription is expiring real?

Treat it with caution and do not use any link in it. Type camps.intuit.com yourself and read the status there. An expiry notice can be a phishing attempt, and Intuit does not ask for a password or one-time code by phone, email or text. Renew only through your own Intuit account.
Before you click: did you click a link or enter anything from that email? If yes, check the status and payment method at camps.intuit.com and call today. If no, ignore the email and check your account directly.

I am not the primary contact, so who can change the payment method?

Only the primary contact on the Intuit account can change the payment method. Anyone else must ask that person. If the primary contact is a former employee or bookkeeper, or you cannot reach them, use the form so a specialist can review the case. Do not share your login with a stranger.
Your answer decides the route: do you know who the primary contact is? If yes, ask them to follow the steps. If no, use the form and include the email that received the billing emails.

My Pro Plus renewal date passed weeks ago, so can I still renew?

Existing Plus subscribers can renew, and a suspended Plus subscription can be renewed. Intuit allows a 30-day grace period after the final notice. Whether a long-lapsed Plus plan can be reinstated is not confirmed, and new Plus subscriptions are no longer sold, so check before you pay.
Your answer decides the route: do you know the date of the final notice? If yes, count 30 days from it and renew inside that period. If no, check the billing emails today, then call.

Do I need a backup before I export my reports?

Exporting reads your data, but a backup protects the file itself, which exported reports cannot replace. If the file opens normally, back it up first. If it opens only in view-only mode, a backup from that mode is not confirmed, so export your reports now and ask a specialist about the backup.
To decide: does the file open normally or only in view-only mode? Normally: back up, then export. View-only: export now. Not at all: do not reinstall, and use the form.

My card was declined, so what happens before the payment is tried again?

Intuit’s missed-payment email gives instructions and the date the payment will be tried again. Before then, the primary contact can enter a current card at camps.intuit.com: QuickBooks Desktop, details, Edit beside Payment Method, Save and Close. Meanwhile the file is on hold for one week from detection.
To narrow it down: did the card change, or was it declined with the same details? Changed: update the payment method now. Same details: ask your bank why it declined, then save the card again or use another one.

Will payroll stop if only my Desktop plan lapses?

Check the payroll status in your account before the next pay run. Canceling Desktop does not cancel payroll, but Desktop Payroll and Payments are not available after a Desktop cancellation takes effect unless another active subscription covers them. The published rules differ, so do not assume either way.
To narrow it down: is a payroll deadline inside the next pay run? If yes, call today. If no, check the payroll status in your account, and see renew Pro or Premier payroll or renew Enterprise payroll.
